Brussels College Student Enrollment Agreement

1. Introduction and Acceptance of Terms

Welcome to Brussels College (referred to as "BC", "the College", "we", "us", or "our"). These Terms and Conditions ("Terms") constitute a legally binding agreement between you (the "Student", "you", or "your") and Brussels College governing your enrollment, participation in academic programs, and use of our services and facilities.

⚠️ Important: By submitting an application, accepting an offer of admission, registering for courses, or attending classes at Brussels College, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, along with all referenced institutional policies.

1.1 Scope of Agreement

These Terms apply to:

  • All students enrolled in undergraduate and postgraduate programs at Brussels College
  • Full-time, part-time, and online learning students
  • Short courses, certificate programs, and professional development courses
  • Use of Brussels College facilities, resources, and services
  • All academic activities, events, and institutional engagements

2.1 Application Process

Admission to Brussels College is granted based on:

  • Submission of a complete and accurate application form
  • Provision of all required supporting documents (transcripts, certificates, identification, etc.)
  • Meeting program-specific entry requirements
  • Demonstration of English language proficiency (where applicable)
  • Payment of the application fee (non-refundable)

2.2 Conditional and Unconditional Offers

Conditional Offers: Students receiving conditional offers must fulfill all specified conditions by the deadline stated in their offer letter. Failure to meet conditions may result in withdrawal of the offer.

Unconditional Offers: Students with unconditional offers must confirm acceptance and pay required deposits by the stated deadline to secure their place.

2.3 Truthfulness and Accuracy

⚠️ Critical Requirement: All information provided in your application must be complete, accurate, and truthful. Submission of false, misleading, or fraudulent documents will result in:
  • Immediate withdrawal of your offer of admission
  • Termination of enrollment if discovered after registration
  • No refund of tuition fees or deposits
  • Possible legal action and reporting to relevant authorities

2.4 Right to Refuse Admission

Brussels College reserves the right to refuse admission to any applicant at its sole discretion, including but not limited to cases where:

  • Entry requirements are not met
  • Program capacity has been reached
  • Previous disciplinary issues or academic misconduct
  • Concerns about the applicant's suitability for the program

3. Academic Programs and Delivery

3.1 Program Structure and Content

Brussels College offers the following Level 6 and Level 7 programs:

  • International Business Developer (IBD) - Level 6 Diploma
  • Data and Applications Designer-Developer (DAD) - Level 6 Diploma
  • Business Management - Level 7 Extended Diploma

Program content, modules, and assessment methods are outlined in program specifications available on our website. Brussels College reserves the right to make reasonable changes to:

  • Module content and learning outcomes
  • Teaching methods and delivery formats
  • Assessment types and weightings
  • Academic staff assignments
  • Timetables and scheduling

3.2 Modes of Delivery

Programs may be delivered through:

  • On-campus classes: Face-to-face teaching at Brussels College premises
  • Blended learning: Combination of on-campus and online delivery
  • Online learning: Remote participation via digital platforms

Brussels College may change the mode of delivery in response to external circumstances (e.g., public health emergencies, force majeure events) while maintaining educational quality and standards.

3.3 Academic Calendar

The academic year is divided into two main intakes:

  • September Intake: Semester 1 (September - December) and Semester 2 (January - May)
  • February Intake: Semester 1 (February - May) and Semester 2 (September - December)

3.4 Attendance Requirements

Students are required to:

  • Maintain a minimum attendance rate of 80% for all scheduled classes and activities
  • Participate actively in learning activities, assessments, and examinations
  • Notify the College promptly of any absences due to illness or exceptional circumstances
⚠️ Visa Compliance for International Students: International students on student visas must maintain full-time enrollment and meet attendance requirements to comply with Belgian immigration regulations. Failure to do so may result in visa cancellation and reporting to immigration authorities.

4. Tuition Fees and Payment

4.1 Fee Structure

Tuition fees are published on our website and in offer letters. Fees cover:

  • Tuition and teaching for enrolled program
  • Access to learning resources and library facilities
  • Student support services
  • Assessment and examination fees
  • Awarding body certification fees

Not included in tuition fees:

  • Accommodation and living expenses
  • Visa application fees and immigration costs
  • Blocked account deposits (managed by third-party providers)
  • Travel and transportation costs
  • Optional study trips or additional courses
  • Resit or reassessment fees (if applicable)

4.2 Payment Deadlines

Tuition fees must be paid according to the schedule outlined in your offer letter or payment plan agreement. Typical payment requirements:

4.3 Late Payment and Consequences

Failure to pay fees by the due date may result in:

  • Suspension of access to learning resources and facilities
  • Inability to sit examinations or receive results
  • Withdrawal from the program
  • Referral to debt collection agencies
  • Legal action to recover outstanding amounts

4.4 Fee Increases

Tuition fees may be subject to annual increases. Students will be notified of any fee changes at least 3 months in advance. Fee increases typically apply to new cohorts and do not affect students already enrolled in a specific program year.

6. Academic Integrity and Conduct

6.1 Academic Honesty

Brussels College expects all students to maintain the highest standards of academic integrity. This includes:

  • Submitting original work that is your own
  • Properly citing and referencing all sources
  • Avoiding plagiarism, cheating, and collusion
  • Not purchasing or commissioning work from third parties
  • Complying with assessment regulations and examination rules

6.2 Academic Misconduct

Academic misconduct includes but is not limited to:

6.4 Disciplinary Procedures

Violations of academic integrity or the Code of Conduct may result in disciplinary action, including:

7. Student Rights and Responsibilities

Students may NOT:

9.2 Student Intellectual Property

10. Liability and Disclaimers

10.1 Limitation of Liability

Brussels College will not be liable for:

  • Loss or damage to personal property brought onto College premises
  • Delays or disruptions to teaching caused by circumstances beyond our control (force majeure events)
  • Third-party services or facilities not directly managed by the College
  • Actions or omissions of other students or third parties
  • Career outcomes or employment prospects following graduation

10.2 Insurance

Students are strongly advised to obtain:

  • Personal possessions insurance for valuables and equipment
  • Health and medical insurance (mandatory for international students)
  • Travel insurance for international travel and study trips
  • Professional liability insurance if required for placements or practice

10.3 Force Majeure

Brussels College shall not be liable for failure to perform obligations due to circumstances beyond reasonable control, including:

  • Natural disasters, pandemics, or public health emergencies
  • War, terrorism, civil unrest, or government restrictions
  • Strikes, labor disputes, or industrial action
  • Utility failures, technology outages, or infrastructure damage

In such circumstances, Brussels College will make reasonable efforts to minimize disruption and provide alternative arrangements where feasible.

11. Complaints and Appeals

11.1 Student Complaints Procedure

Brussels College is committed to addressing student concerns fairly and promptly. Students who wish to make a complaint should:

Step 1 - Informal Resolution: Raise the matter with the relevant staff member or module tutor to seek informal resolution.

Step 2 - Formal Complaint: If the issue is not resolved, submit a formal written complaint to office@brucol.be including:

  • Your name, student ID, and contact details
  • Clear description of the complaint and relevant dates
  • Steps already taken to resolve the issue
  • Desired outcome or resolution

Step 3 - Investigation: Complaints will be acknowledged within 2 business days and investigated within 10-15 business days.

Step 4 - Appeal: If you are dissatisfied with the outcome, you may appeal to the Vice Rector (i.chiloglu@brucol.be) within 14 days of receiving the decision.

11.2 Academic Appeals

Students may appeal academic decisions (e.g., assessment marks, progression decisions) on the following grounds:

  • Procedural irregularities in the assessment process
  • Extenuating circumstances that affected performance
  • Evidence of bias or unfair treatment

Appeals must be submitted in writing within 14 days of receiving the decision.

12. Program Changes and Discontinuation

12.1 Changes to Programs

Brussels College reserves the right to make reasonable changes to programs, including:

  • Module content, learning outcomes, and assessments
  • Teaching staff and delivery methods
  • Timetables and scheduling
  • Location of teaching (subject to reasonable notice)

Significant changes will be communicated to students as early as possible, and we will make reasonable efforts to minimize disruption.

12.2 Program Discontinuation

In exceptional circumstances, Brussels College may discontinue a program. In such cases, we will:

  • Provide at least 6 months' notice to enrolled students
  • Allow current students to complete their studies through "teach-out" arrangements
  • Offer alternative program options or transfer arrangements where feasible
  • Consider refunds or compensation on a case-by-case basis

13. Termination of Enrollment

13.1 Grounds for Termination

Brussels College may terminate a student's enrollment for reasons including:

  • Non-payment of tuition fees or persistent late payment
  • Failure to meet academic progression requirements
  • Serious academic misconduct or plagiarism
  • Breach of the Code of Conduct or disciplinary violations
  • Provision of false or fraudulent information
  • Failure to meet visa or immigration compliance requirements
  • Health and safety concerns that cannot be reasonably accommodated

13.2 Consequences of Termination

Upon termination of enrollment:

  • Access to College facilities and services will be withdrawn
  • No refund of tuition fees will be provided (except as outlined in the Cancellation Policy)
  • Outstanding fees remain payable
  • Visa sponsorship will be withdrawn and immigration authorities notified
  • Academic transcripts will reflect the termination where appropriate

14. Governing Law and Jurisdiction

14.1 Applicable Law

These Terms and Conditions and your relationship with Brussels College are governed by the laws of Belgium. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the Belgian courts.

14.2 Language

The official language of instruction and administration at Brussels College is English. All communications, documentation, and legal agreements are conducted in English unless otherwise specified.

14.3 Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

15. Changes to Terms and Conditions

15.1 Updates and Amendments

Brussels College reserves the right to update or amend these Terms and Conditions to reflect:

  • Changes in legislation or regulatory requirements
  • Updates to institutional policies and procedures
  • Improvements to services and operations
  • Changes in awarding body requirements

15.2 Notification of Changes

Students will be notified of significant changes to these Terms via:

  • Email to registered student email addresses
  • Announcements on the College website
  • Notices posted on the student portal or learning management system

Updated Terms will be effective from the date specified in the notification. Continued enrollment following notification of changes constitutes acceptance of the revised Terms.
